The Health Information System Implementation

I’m writing to inform you that recently one of our colleagues offered to implement a health information system (HIS) in the activities of our organization. The offer also implied an application of an electronic health record system for the organization and storage of patients’ records. I’m writing to acquaint you with the potential benefits these systems can give and inform you about how implementing these systems can improve our current work.

As our company continues to grow, we need to keep up with modern trends and approaches in the field of medicine to stay competitive and provide the best working conditions for our employees. As an essential step in preparing for the company’s scaling up, we need to make sure that the company’s documentation is properly organized and ready for effective use. While it does not mean that our current paper documentation organization and storage system is flawed, we need to make additional efforts to meet the high demands of modern patients and ensure their safety.

Thus, the potential benefits of implementing HIS and EHR system include:

  1. Firstly, the HIS carries a higher level of patients’ data protection and security. Paper records can easily be misplaced or lost, causing significant problems for the patient. While the office space is securely protected, the is no opportunity to guarantee that there will be no unauthorized attempts to access patients’ personal data. Electronic records use encryption to ensure the security of patients’ records and feature the option to set different levels of access to clients’ personal information. Thus, implementing a health information system and electronic health records will significantly improve the quality of our company’s services and provide a foundation for more transparent and trustful relationships with clients.
  2. Next, the systems allow the standardization of patients’ records and personal data. HIS feature data standards to facilitate the data organization and storage and improve the speed of information exchange between health care providers. The standardization of data also allows health care providers to manage and sort documentation effectively, optimizing the workflow of the entire organization. Thus, with the implementation of HIS and EHR, our company’s workflow will become more effective, and we will be able to provide services to more clients. Furthermore, electronic patient records will ease the process of patients’ record transfer to other specialists. Ultimately, the increased number of clients will result in additional financial profits, which will assist in the company’s expansion plans.
  3. Lastly, implementing the HIS and EHR systems favors improved quality of patient care. The increased data exchange rate within the organization provided by the implementation of HIS and the EHR system will positively impact patient care by improving the accuracy of data. With up-to-date information about the patient, the employees will be able to provide effective and coordinated patient care. Furthermore, the systems allow monitoring of resource allocation between patients, providing valuable information about resource consumption and identifying possible cost-saving measures.
